Southern Methodist University (SMU) is seeking a dynamic and engaging Human Resource Representative to join the Talent Acquisition/Talent Management (TA/TM) Team within the Department of Human Resources.
The Human Resource Representative is an integral role supporting the recruiting function, and contributes to the overall success of the TA/TM Team. This role provides a high level of collaboration to the Human Resource Business Partner (HRBP), including Talent Acquisition, Talent Management, and relationship building with hiring managers and their teams.
This position is responsible for providing administrative and project support to the TA/TM Team, and interacts with various business leaders, business units, employees and candidates.
Via oversight by an HRBP, this role may interact directly with select hiring managers and their teams on hiring processes. This role provides timely and accurate updates to the HRBP and hiring managers on search status and candidate progression, and tracks all activity in ATS (Taleo).
The Human Resource Representative will perform a variety of activities, communication & outreach on behalf of the entire TA/TM Team including: candidate correspondence, Website management, posting external advertising, participation in career fairs, coding and processing of invoices, front desk support & other activities representing the HR Department & TA/TM Team.
On a rotation schedule, facilitate New Employee Orientation for new benefit-eligible staff, faculty, and post-docs, including new hire paperwork, Employee Data Forms, I-9 processing and benefits orientation.
Works closely with the HRBPs to manage the hiring of temporary staff in accordance with SMU policies, federal regulations and best practices. Serve as primary liaison between Kelly Services and HR, the Office of Information Technology, Grants and Contract Accounting, Controller, Payroll & other campus partners. Management of successful on-boarding for temp staff, processing & cross-billing of invoices, data management & reporting requests. Responsible for troubleshooting & escalation.
Works closely with the HRBPs to initiate the on-boarding process for new and transferring employees. Initiates various electronic and manual payroll forms for new and transferring regular employees. Initiates investigations, reviews results, and ensures completion for all University background pre-employment checks (criminal, education, credit, DMV). Creates, distributes & assembles all new hire documents. Serves as primary contact for all new employee inquiries & support.
Other special projects and assignments as needed including the HR Front Desk Team support. Oversight of student worker(s) assigned to team.
Education and Experience: A high school diploma and three years of work experience in an administrative support role is required. Experience working in Human Resources, specifically talent acquisition is highly preferred.
Previous experience with training and onboarding of new employees is desirable. PHR/SPHR and/or SPHR-CP or SPHR-SCP are also preferred.
Knowledge, Skills and Abilities: The ideal candidate will have strong verbal, written and interpersonal communication skills. A strong customer service orientation is a must. Time management, and organizational/planning skills are desired.
Project management skills and a strong attention to detail are also key for this position. Must be an innovative problem solver with employee relations and vendor management skills. Working knowledge of relevant regulations applicable to employment (FLSA, background checks, etc.) and immigration laws and visas desired.
Must have the proven ability to learn new technology and adapt it to improve the efficiency and effectiveness of work processes.
Proficiency in MS Office is required (Advanced MS Excel skills are preferred.)
Working knowledge of HRIS and ATS (PeopleSoft and Taleo) is preferred.
Experience with web page development/maintenance (Sitecore, Wordpress) preferred.
