Purpose: Assists and supports the Human Resource Dept in facilitating HR processes for the proper onboarding, recordkeeping, and adherence to legal requirements in administration in employment.
High school education, with some college, preferred
3 to 5 years of HR administrative experience
Proficient in Microsoft suite. Ultipro software preferred
Excellent communication skills, verbal and written
Strong customer service, organizational skills, and team player disposition
Proven ability to work in a fast-paced, deadline-driven environment. Strong time management skills with acute attention to detail.
Bi-lingual Spanish a plus
Essential functions include (but are not limited to):
Provides operational and administrative support to the Human Resources team.
Administers and assists management with pre-employment, onboarding, and orientation activities.
Initiates all onboarding activities including background checks, E-Verify, drug screening process, and credit checks.
Provides an initial review of all background checks, obtains proper approvals, and clears alerts with proper notation.
Complies with all requirements of the Fair Credit Reporting Act, including facilitating the Pre-adverse and Adverse Action process.
Monitors new hire process in UltiPro and follows up on outstanding new hire documents;
Reviews all I-9 forms and ID documents for accurate verification of U.S. employment eligibility of all new hires.
Partners with Payroll/Hiring Managers to ensure new hire records are complete and input accurately in the HRIS system.
Provides all new Community Directors with HR Guide to assist in familiarizing them with Highmark processes.
Reviews and inputs termination information and follows up on outstanding supporting documentation.
Administer the unemployment claims system, providing timely documentation for all unemployment claims and adhering to strict UC deadlines.
Administers proper Federal/State law postings for all Highmark communities and offices
Assists in the coordination, tracking, and follow-up of the Annual Performance Evaluation process
Maintains current record of Associate Leases and Addendums
Maintain proper HR Department records for personnel, resume, vendor accounts, etc.
Review and maintain department forms and instructional presentations to keep up-to-date and accurate.
Cross-trains in other HR functional areas
Commitment to continuous learning and self-study to keep up with the changes and best practices in Human Resources.
Maintains strict confidentiality of personnel and sensitive HR information
Carries out other duties as assigned by HR Generalist or Managers in the HR Department
Occasional backup coverage for office services responsibilities, i.e. reception, mailroom
Occasional overtime/weekends may be required.
