The HR Assistant is focused on providing an excellent recruiting, application and onboarding experience for internal and external customers. This position will also assist with the administration of open enrollment each year so that this annual event runs smoothly and enrolls all staff accurately and in a timely manner. This position supports, promotes and furthers our goal of providing the highest standards of culturally relevant and sensitive professional service consistent with our mission.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Posts jobs on all recruiting sites, multiple social media sites, and JFS website; create eye-catching job posting with the help of marketing team;
Writes new job descriptions or updates an existing one to meet internal needs using JFS job description template
Files all job descriptions on Policy Tech
Collaborates with CFS coaches on job openings to consider any clients who could be qualified and interested
Provides appropriate level of communication to keep applicants and managers engaged through the application/hiring process
Assists in developing new recruiting resources; collaborates with DEI committee to identify new recruiting resources to meet affirmative action goals
Assists in setting up Paycom and maintains the applicant tracking module so that it tracks applicant status and records reasons for hiring and not hiring applicants
Prepares recruiting, AAP, and other requested reports in Payroll system on a monthly basis
Assists with monthly new employee orientation
Sends out surveys for new employees and compiles results on the success of the new employee orientation as part of the continuous improvement process
Creates and emails welcoming announcements for new hires to all staff on a biweekly basis
Assists in complying with employment posting requirements within agency
In the absence of the HR Generalist, ensures that employee changes are submitted to Payroll before the next pay date, coordinates with COO to address employee relations situations, reports worker comp injuries to insurance company and ensures that employee receives necessary medical treatment, answers general inquiries from internal and external customers
Helps with file maintenance to include participating in scanning and creating online files for all employees
Assists with data entry in both payroll system and on provider websites
Answers staff questions to aid in enrollment
Helps with reconciliation after enrollment window closes
Performs other duties, as assigned.
At least 1 year experience working in HR
Bachelor degree in HR or business preferred
Ability to research information, analyze and make recommendations
MS Office experience, particularly Word, Excel and Outlook
Confidence in learning new software programs; Payroll processing/ HR administration software experience a definite plus
Excellent customer service skills, both internal and external, with sincere desire to serve others
Desire to work in a non-profit environment.
